Data Management > Products > Inventory

This usually refers to pre-labeling inventory. Use cases include any situation where you're storing finished products before final boxing, palletizing, and shipping.

Example: Fresh meat chicken goes through a blast freezer and is stored in a cooler room before final labeling.

Note: Palletized Inventory is tracked on the Operations -> Palletizing page.

Viewing Inventory (Perspectives)

Inventory - As Stored

This is the first table shown on the page. This table shows inventory exactly how it sits. In this view, you will see multiple entries per product depending on when and where it was stored. The rows are unique by product, location, and inventory date.

Inventory - Total By Product

This is the second table shown on the inventory page. This table shows the total inventory counts for each product, regardless of when or where it was stored. The rows are unique by product. This is handy when you just want to know how much of a given product you have in stock.

Inventory by Case Type, Pack Type, and Category

There are a few basic charts located on the right side of the inventory page which can provide additional insight into the distribution of inventory based on product categories and packaging types.

There are a few additional ways to look at inventory which we will cover in the inventory location, inventory management, and inventory auditing sections.

Managing Inventory

This section will cover adding / editing inventory counts, adding / editing inventory locations, and auditing (resetting) inventory counts.

Adding new inventory

To add new inventory, click the green add button show above, located at the top of the first table on the page. This will open the inventory adjustment window. In this instance, the only inventory adjustment mode displayed is "Add Inventory". From here, you can enter your product, counts, location, and inventory date.

Note: if you add inventory that already has an existing match (same product, location, and inventory date) then the Nexus system will attempt to find the match and add the additional counts to the existing record.

Editing Existing Inventory

To edit inventory, first click the purple inventory breakdown button shown above. This can be found on both the Inventory - As Stored and Inventory - Total By Product tables. When you click this button you will see the inventory breakdown window, which displays all the inventory stored for the chosen product.

Once you're on the inventory breakdown window, you can click the blue edit button shown above on the row you wish to edit. This will open the inventory adjustment window where you can adjust the counts, location, or date for the selected inventory record.

The Nexus inventory system attempts to prevent users from using negative numbers or having to do any manual math. For this reason, you can instead select your inventory adjustment mode and enter the positive value in either situation. If we want to remove counts from inventory, click the "Reduce Inventory" button and enter how many you wish to take out.

Inventory Storage Location Management

To access the inventory storage location editor, you'll need to click the "Locations" tab on the left side of the page. This will switch you to the locations tab.

On this page, you can create, edit, and delete inventory locations, as well as see what inventory is stored at each location when it's selected in the left hand list. Nexus allows for hierarchical storage locations similar to how the product categories work. One location could have multiple inner locations. Such as a locker room having 20 lockers inside of it. Each locker could have shelf A, shelf B, and so on.

Adding / Editing Storage Locations

To add a new storage location, click the green add button located in the upper left of the middle location panel that displays the selected location's name, shown above. Clicking this at any time will clear the current data so you can enter a new location name.

After you enter a name and select a parent location, if applicable, click the green "Add Location" button to save your entry. The new location should now show up in the left hand list.

To update a location, simply select it in the left hand list, make your modifications and click the "Update Location" button to save.

Audit / Reconcile Inventory Counts

Periodically, your operation may need to do a manual recount of inventory. Nexus provides a system for overwriting your entire inventory with new entries.

To start an inventory reconciliation audit, click the inventory audit button shown above. This is located in the upper right of the Inventory - As Stored table, it's a part of the black header section. Only Administrators and Inventory Manager roles can use this. When clicked, this button will open the inventory Reconciliation window, where you can create your inventory overwrite list.

The data you enter on the reconcile window is stored in an "Audit Entries List" when you submit your changes so that if anything were to go wrong, you can restore your entries without having to start from scratch, and make amendments to the list before resubmitting.

Inventory Snapshots

When you perform an inventory audit / reconciliation operation, a few different snapshots are taken when you submit your update so you can see how your data changed.

Beginning Inventory History

Located below the Inventory - Total By Product table on the inventory page, this table allows you to select an Audit Date from the dropdown to see what the inventory counts were for that Audit Date after the reconciliation operation was submitted.

Ending Inventory History

Located below the Beginning Inventory History table, this table allows you to select and Audit Date from the dropdown and see what the inventory counts were for that Audit Date before the reconciliation process overwrote them.
